3 things to do right now to smooth out the real estate closing process

By BBS Notary Services  Published On November 26, 2025

The last couple of months of the year always feel the busiest – and it’s because all of us are pulled in so many directions. There are personal holiday obligations, expressions of gratitude to give, end-of-year tasks to finish, and new goals to set.
That’s why this blog is a cornucopia of things from the BBS Notary team! While we want to use it to say thank you to everyone who relies on us to be the best mobile notary provider in the country, we also stuffed it with advice to help you make your closings smoother and less stressful for everyone involved, both this year and next.
After all, often there are just as many people around a closing table as there are at a wonderful Thanksgiving feast.
Keep communication channels open with all parties throughout the transaction.
Questions, updates, and last-minute details can pop up at any stage of the process, and nothing derails a closing faster than slow or unclear communication. Real estate partners who respond quickly, share updates proactively, and keep everyone in the loop help prevent confusion and delays. When everyone knows what is happening and when, it creates a smoother, more confident path to a great Closing Day!
Make sure your clients are clear about the closing process. Speaking of communication, here’s one other thing to keep in mind. Lots of real estate professionals could do a closing in their sleep, but that knowledge and experience won’t shine through without transparency with your buyer and sellers. These people may not know what to expect – and they’re looking for guidance during each step.
Have questions that come up again and again? Create a handout or team video addressing these common themes, and make sure everyone knows what to bring to closing to make it as smooth an experience as possible. (Letting your buyers know how to send money early on in the process is a big deal, too; both for clarity, but also to help ward off scammers.)
Partner with vendors you know care as much as you do. OK, this one is self-serving, but it’s true. A successful real estate transaction is truly a team effort, and everyone involved should be giving their best. If someone is not doing that, it may be time to find a replacement before big mistakes are made and business is lost. On the flip side, if you’re not good at talking about the importance of your role in a successful sale, it’s time to step it up.
BBS Notary is always thankful for the nationwide notary network you rely on time after time. Remember, we can help with your Remote Online Notary (RON) authorizations, too! Reach out to us anytime. Jessie and our team always strive to make the signing process a bit smoother for all involved!
